Data controller is the entity that will make the decisions about how your data is used and that is responsible for deciding how it holds personal information about you. By accessing and utilising Artikas service, you acknowledge that you have read and understood this Privacy Notice and the personal data information collection and handling practices outlined in it. Personal data means any information about an individual from which that person can be directly or indirectly identified.
Collection of your personal data
We collect personal data you give us directly but we also collect data by logging how you interact with our services. When using the service, we automatically collect information, including personal information, about the services you use. We automatically collect log data and device information when you access and use Artikas service, even if you have not joined or logged in.
The personal data we collect about you may include, but is not limited to: your name, email address, user id, postal address, phone number, payment information, survey responses, booking details and other information you may provide about yourself through use of Artikas service. We also collect information about your session data, including IP address and web browser software. We collect this type of information to try to better understand your interests and preferences and personalize your experience.
The financial data is managed by independent external parties. The external party satisfies the legal requirements to offer and execute online payment services for individuals and companies.
We may collect information, including personal information, that others provide of you when they use Artikas service (comments, discussion, ratings, etc). We do not control or respond for how the third parties process your personal data, and any information request regarding the disclosure of your personal information to us should be directed to such third parties.
You can choose not to provide us with your personal data. However, you need to provide us with certain information about you in order to take advantage of Artikas service’s features.
We may collect information via cookies and other similar technologies. Cookies are small text files that are automatically placed on your computer or mobile device when you visit Artikas website. They are stored by your internet browser. Cookies contain basic information about your use of the internet. Your browser sends these cookies back to our website every time you visit it, so it can recognise your computer or mobile device and personalise and enhance your browsing experience.
Purpose of processing
We will only use your personal information when the law allows us to. We use the personal data that we collect only for specific purposes. We use, store and process information, including personal information, about you to provide, understand, improve, and develop Artikas service. We also use, store and process information to improve our marketing and advertisement as well as to comply with our legal obligations or such processing is necessary for our legitimate interests.
Virtual Manager Oy may share your information with other parties, including third-party service providers who provide services or functions on our behalf, including business analytics, payment processing, customer service and marketing. We may also authorise third-party service providers to collect information on our behalf, including, for example, as necessary to operate features of Artikas. We may offer services in conjunction with other business partners. If you choose to access these optional services, we may share information about you with those partners. We do not control the privacy practises of thirdparty business partners.
If we are legally obliged to do so, we will share personal data to protect the users, Artikas service, as well as our company and our rights and property.
We will only retain your personal information for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.
To determine the appropriate retention period for personal data, we consider the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal requirements.
We may anonymize your personal information so that it can no longer be associated with you, in which case we may use such information without further notice to you.
In accordance with applicable law, you may have the right of access, the right of rectification, the right to erasure, the right to object, the right to restrict processing and the right to data portability. Below you can find more details and information on how and when you can exercise your rights. Virtual Manager Oy will respond to your request within one month, but have the right to extend this period with three months.
The right to request access to your personal data. This enables you to receive information and a copy of the personal data we hold about you and to check that we are lawfully processing it.
The right to request to correct your personal data if it is inaccurate. You may also supplement any incomplete personal data we have, taking into account the purposes of the processing.
The right to request deletion of your personal data if your personal data is no longer necessary for the purposes for which we collected or processed them. You can also withdraw your consent if the processing of your personal data is based on consent and no other legal ground exists.

Virtual Manager Oy will provide to you, or a third party you have chosen, your personal data in a structured, commonly used, machine-readable format. Note that this right only applies to automated information which you initially provided consent for us to use or where we used the information to perform a contract with you.
You will not have to pay a fee to access your personal data. However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive. We may need to request specific information from you to help us confirm your identity and ensure your right to access the information (or to exercise any of your other rights).

Virtual Manager Oy shall not transfer personal data outside of EU/EEA without adequate safeguards required by applicable data protection law, such as standard contractual clauses.
